WHO WE ARE:
The Roman Catholic Archdiocese of Ottawa–Cornwall is an archdiocese that includes part of the Province of Ontario and the suffragan dioceses of Hearst, Pembroke and Timmins. On 6 May 2020, Pope Francis amalgamated the Archdiocese of Ottawa and the Diocese of Alexandria-Cornwall to create the Archdiocese of Ottawa–Cornwall. The Archdiocese of Ottawa-Cornwall is a religious, non-for-profit organization that serves 525,387 Catholics in 127 parishes.
SUMMARY: The position of Accounts Payable Officer will report directly to the Finance Manager and will work out of our Ottawa office located at 1209 Michael St.
RESPONSABILITIES AND TASKS:
Responsibility: Processing all invoices for payment
- Process incoming vendor invoices in a timely manner
- Match invoices to appropriate authorizing documents and ensuring proper approval in accordance with delegation of authority
- Code invoices with appropriate general ledger account numbers and related department codes including the appropriate calculation of GST/HST
- Input invoice information into accounting system and subledger
- Prepare reports and maintain records and files as needed
- Print accounts payable cheques and mail as appropriate
- Manage vendors’ profiles and history
- Be the main point of contact for vendors in order to properly resolve issues
Responsibility: Reconciliations and General
- Complete the reconciliation between the A/P subledger and G/L control account on a monthly basis
- Complete the reconciliation of the A/P account to the bank statement for the bank reconciliation on a monthly basis
- Ensure the A/P clearing account is properly cleared on a monthly basis
- Perform other related accounting tasks as required
JOB REQUIREMENTS AND SKILLS:
- Degree or diploma in finance, accounting or a related field.
- Minimum 2-3 years of progressive experience in a similar role.
- Effective verbal and written communication skills. Bilingual French and English preferred. If not bilingual, must be willing to take language English or French courses during the employment period.
- Ability to work independently or in a team environment, with strong interpersonal skills
- Ability to establish and maintain effective stakeholder relationships
- Strong attention to detail required;
- Ability to read, understand and calculate financial figures such as discounts, interest rates, proportions, percentages, and taxes;
- Basic knowledge of accounting principles, systems, budgets, and internal controls;
- Demonstrate time management skills;
- Ability to multi-task and prioritize tasks with conflicting deadlines and demands;
- High level of integrity and excellent work ethic;
- Ability to process basic to intermediate functions and formulas in Microsoft Excel;
- Previous experience with accounting systems such as Sage to be considered an asset
- Knowledge of the workings of the Roman Catholic Church is an asset.
- Recent Enhanced Police Information Check processed by the Archdiocese.
WORK CONDITIONS AND LOCATION
- Permanent contract
- 5 hours per week, Monday to Friday 8:30 a.m. to 4:30 p.m (including a 30-minute unpaid lunch break)
- Extended periods of sitting;
- Work in an office environment with individual workstations;
- 1209 Michael Street, Ottawa
