JOB SUMMARY
The parish secretary serves as a welcoming and professional administrator of the parish office, often being the first point of contact for parishioners, visitors, and those seeking assistance. This role provides essential administrative support while fostering a welcoming, and mission-focused parish environment. The ideal candidate is organized, personable, and committed to the life and mission of the Catholic Church through both excellent administration and genuine care for others.

POSITION

  • Reports To: Pastor, Fr. Steven Gaudet & Director of Evangelization, Lorne Stang
  • Job Type: Part Time 15 hours a week
  • Salary: Hourly, $22
  • Working Hours: 9:AM-12:PM from Monday to Friday, with some flexibility

KEY RESPONSIBILITIES

  • Preparing parish bulletins weekly
  • Maintaining sacramental records e.g. making baptismal certificates, looking up sacramental records, etc.
  • Answering phones and general parishioner queries
  • Coordinating with volunteers, musicians, clergy for liturgies e.g. funerals, weddings etc.
  • Scheduling appointments and managing parish bookings and calendars
  • Open and close parish office for office hours 9-12 Mon-Fri (with some flexibility)

RECOMMENDED SKILLS & EXPERIENCES

While not strictly necessary, the following is a list of valuable skills and experiences that would be helpful in this role:

  • Google Applications- Calendar, Docs, Sheets, Gmail, Drive
  • Canva
  • General office experience
  • Able to work and communicate well with others, but able to work independently.
  • An understanding of and respect for the values and mission of the Catholic Church.
  • Strong written and verbal communication skills, with excellent interpersonal skills.
  • Experience in office administration, reception, customer service, communications, parish ministry, or a related field
  • Experience working with the public in a welcoming, professional, and compassionate manner.
  • Experience working within a Catholic parish

ABOUT THE PARISH

St. Finnan’s Catholic Parish is home to three English catholic churches in North Glengarry, Ontario; St. Finnan’s Alexandria, St. James Maxville, St. Anthony’s Apple Hill. Together our parish is working towards its mission of growing the Catholic faith in Glengarry, proclaiming the good news of Jesus Christ, and building the kingdom of God. Our parish office is in a shared building with Shalom House Retreat Centre in Alexandria On.

“To pay to (Legal Name of Parish) Roman Catholic Parish for its own use absolutely, the sum of (amount) dollars. I declare that the receipt of the person professing to be the Pastor or Parochial Administrator of the parish shall be sufficient discharge to my Trustee who need not see to the application thereof. I further direct that if the (Name of Parish) does not exist at the time of my death, this bequest shall be paid to the Parish’s successor, and if no such successor exists, then to an institution with similar objectives and goals.”
