JOB TITLE: Secretary, St. Bonaventure Parish

EMPLOYER AND WORK LOCATION: St. Bonaventure Parish, 1359 Châtelain Avenue, Ottawa, Ontario K1Z 8A6

TYPE OF EMPLOYMENT:

  • Permanent position – 24 hours per week from Tuesday to Friday, including a 30-minute unpaid lunch break

ROLE SUMMARY:

  • The nature of the role is to support the Pastor and the Temporal Affairs Committee in their duties.
    The role can sometimes be stressful, and deadlines may arise suddenly, requiring flexibility and reprioritization of workload.

MAIN RESPONSIBILITIES:
As a secretary, you will be required to:

  • Use word processing software such as Microsoft Word
  • Handle inquiries by telephone and email using an email system
  • Photocopy and print various documents
  • Organize and store documents and electronic data
  • Create and maintain filing systems and other office systems
  • Maintain financial records, parish registers, and schedule appointments
  • Manage the rental of meeting and conference rooms
  • Liaise with parish committees and external contacts
  • Order and maintain office supplies and equipment
  • Write letters and prepare certificates
  • Use a variety of software packages (including Excel, Access, and PowerPoint) to manage data and produce documents and presentations
  • Use content management systems (such as “Nos membres”) to manage and update internal databases
  • Manage and maintain budgets and process invoice payments
  • Sort and distribute incoming mail and organize and send outgoing mail
  • Handle statistical data

QUALIFICATIONS AND SKILLS:

  • High school diploma or equivalent (Canadian Adult Education Credential [CAEC] or General Educational Development [GED]) or an acceptable combination of education and experience
  • Secretarial experience, including bookkeeping
  • Member of a Roman Catholic parish

  • Bilingualism is essential: strong command of French and ability to communicate easily in English
  • Attention to detail and strong sense of responsibility
  • Ability to work in a changing environment
  • Good judgment and effective problem-solving skills
  • Team spirit and adaptability
  • Comfortable with computer tools
  • Knowledge of Google software

Assets:

  • Experience as a secretary in a Roman Catholic parish
  • Knowledge of the “Nos membres” software

COMPENSATION:

  • $24.00 per hour
